K-12 Bid Coordinator (Proposal Specialist)

The Affinity Group is seeking a dependable and detail orientated K-12 Bid Coordinator (Proposal Specialist) in the Southeast. This is a remote position; however, for training and as needed, you will be required to visit a local office in the Southeast.

About the Role

Reporting to the Bid Team Manager, the Bid Coordinator will coordinate and administer bid pricing and details submittal of K-12, cruise and government proposals. This position will create supporting documentation for review, while effectively communicating with key stakeholders regarding all proposal activity end-to-end.

What You’ll Do
  • Coordinate the bid quotation process for stakeholders in an accurate and timely manner.
  • Work in conjunction with the appropriate sales associates and clients to formulate bid strategies.
  • Analyze and identify required bid specifications to prepare bid quotations and or documents.
  • Prepare bid quotations and/ or documents for submission to the appropriate stakeholder using their submission guidelines.
  • Continuous communication with all stakeholders throughout the bid process.
  • Maintain an accurate follow-up system for actively tracking bids and quotations to assure no bid is left behind.
  • Monitor department and employe inbox.
  • Effective written and verbal communication that resonates across various stakeholders.
  • Works with existing templates and rough draft material to convert data into high-impact content that strengthens the quality of the proposal.
  • Attends meetings and trainings to develop on-going product knowledge.
  • Participates as a team member in a collaborative environment.
  • Contributes to the completion of team goals and assigned tasks.
  • Will closely monitor K-12 proposal compliance within strict deadlines.
  • Performs components and document production to include formatting, proofing, printing, binding, and preparing proposal documentation for shipment and review.
Qualifications
  • Must have 3+ years of direct experience working in an office and or data entry setting.
  • Must be familiar and or have direct experience in preparation, composing, compiling, and reviewing documents for a submittal processes.
  • Demonstrated stakeholder relationship building and maintenance skills.
  • Demonstrated ability to communicate clearly and concisely in written and verbal formats, with innate ability to analyze, synthesize and condense text.
  • Strong mathematical and analytical skills.
  • Ability to accurately read bid documents and bid specifications.
  • Willingness and ability to operate in a deadline-driven environment.
  • Flexibility in the face of rapidly changing circumstances.
  • Strong attention to details and demonstrated follow-up skills.
  • Demonstrated time management and organization skills, including the ability to plan and manage multiple priorities simultaneously to achieve results.
  • Proven proficiency in general computer applications, as well as advance skills in the use of Microsoft office 365, SharePoint, and Adobe Acrobat.
What to Expect
  • Typical workweek runs Mon thru Fri (8:00 A.M. to 5:00 P.M.)  
  • Ability to meet the physical nature required within a typical office setting. (i.e., listen, hear, talk, visual). Sitting for extended periods of periods, completing repetitive hand and finger motions.
